Investment advisers are required by law to tell clients how they handle personal information. Evergreen Wealth Management LLC (“EWM,” “we,” or “us”) keeps client information confidential in accordance with applicable law. Federal law gives you certain rights over how your personal information is shared, and requires us to explain how we collect, share, use, and protect it.
Information We Collect
We collect nonpublic personal information that you provide to us or authorize us to obtain on your behalf. This may include your Social Security number, date of birth, contact information, banking information, financial account numbers and balances, tax information, sources of income, and notes of our conversations with you.
How We Share Information
We may share nonpublic personal information as permitted or required by law for the following purposes:
- To provide investment advisory and financial planning services
- To process transactions and maintain your accounts
- To comply with legal, regulatory, or court-ordered requirements
- With unaffiliated service providers that support our advisory operations, technology systems, recordkeeping, portfolio management, planning, billing, or compliance functions
We do not sell client information, and we do not share nonpublic personal information with unaffiliated third parties for their marketing purposes. Information sharing may begin when you sign our advisory agreement. If you are no longer a client, we may continue to retain and share your information only as described in this policy and as permitted by law.
Your Consent to Sharing
We obtain your affirmative consent before we share your nonpublic personal information with non-affiliated third parties, including the service providers described above. You give that consent in your advisory agreement, which describes the kinds of providers we use and limits them to providing services to us. You may withdraw it by writing to us; because we rely on these providers to serve you, we may then be unable to continue providing services. We do not share your information for marketing, so no further election is needed.
How We Protect Your Information
We maintain physical, electronic, and procedural safeguards designed to protect your information from unauthorized access or use, including encryption, secure password management, and access limited to firm personnel who need it to serve you. We require the service providers we use to protect your information and to use it only to provide services to us.
Our Use of Artificial Intelligence
We use artificial intelligence (AI) tools to help with administrative and analytical work, such as organizing information, preparing drafts and summaries, and checking our records. AI supports our work; it does not replace our judgment. AI tools do not make investment decisions, place trades, or move money, and a person at our firm reviews any AI-assisted work involving your information before it is used or shared with you.
Our own AI tools. When our own AI tools work with your personal information, they run on computer equipment that our firm owns and controls. Your information is stored encrypted on that equipment, is not sent to outside AI providers for processing, and is not used to train AI models offered by others. We keep a record of the work these tools perform so that it can be reviewed.
Public AI services. We do not enter your nonpublic personal information into public or consumer AI services, such as publicly available chatbots.
Service providers. Some service providers we use, such as financial planning, tax analysis, and meeting-notes software, include AI features as part of their services. We review these providers’ privacy and security practices before using them, and they may use your information only to provide services to us.
Meetings. If we use an AI notetaking service during a meeting with you, you will be notified, and you may ask us not to use it.
If Your Information Is Compromised
If we learn that your sensitive personal information has been accessed or used without authorization, we will notify you as required by law.
Questions
If you have questions about this policy or how your information is handled, please contact us using the information above. Protecting your personal information is part of our commitment to serving you as a fiduciary.
